Detailed job description and main responsibilities
GOVERNANCE & MEETINGS
- To support in the articulation and implementation of governance structures, through Terms Of Reference and other products, in order that the portfolio is tightly controlled and information flows efficiently between appropriate audiences.
- To provide operational support to regular executive meetings and ad-hoc forums and events, in order for the portfolio to progress the organisationโs strategic agenda.
PMO CONTROLS
- To support the design and implementation of policies, processes and procedures for the programmes & projects, for example documentation requirements, approval procedures and reporting processes.
- To support the design and implementation of robust escalation processes and procedures to ensure that risks to delivery and issues requiring support are surfaced to Senior Responsible Owners proactively and early.
- To support the design and implementation of materials, and support the engagement required, for programmes & projects to be independently quality-assured.
- To support the process to provide assurance that programmes & projects have undergone scrutiny for clinical risk & quality.
- To support independent assurance processes for programmes & projects, and to work with both PMO and programme/project owners & teams to ensure the processesโ success.
- To support the process to ensure programmes & projects undergo progress reviews as appropriate, in line with the agreed approach.
INFORMATION CAPTURE, MANAGEMENT & REPORTING
- To manage and maintain appropriate programme & project management information systems, in order that colleagues are able to capture, manage and report information efficiently and effectively.
- To support colleagues to capture and maintain relevant and high-quality information on programme & project management information systems.
- To support the design and implementation of structures and processes to enable the PMO to accurately report (routinely and ad-hoc) from information systems, to service both the upward-reporting and data quality agendas.
- To support the design of systems to report a central strategic view of portfolio activity as appropriate.
PROGRAMME & PROJECT ANALYSIS & DEVELOPMENT
- To support the management of a project pipeline, including the validation and feasibility-assessment of potential projects prior to approval onto the portfolio.
- To support the design and implementation of systems to track programme & project benefits.
- To support and champion the use of programme & project management resources (such as case studies, reports and datasets) which are sourced nationally and internationally and support innovation, learning from best practice, and benchmarking.
- To support the delivery community by providing robust analytical expertise in line with a data-driven methodology. To be a champion of and conversant in the use of benchmarking wherever possible. To support the development of the Trustโs approach to programme & project management. To be expert in, and champion, the approach.
- To support the drive for level of excellence across the Trust in all areas of the approach, particularly benefit-realisation and return-on-investment.
