JOB SUMMARY:
The Marketing & Administrative Assistant’s primary responsibilities are to assist the Development Director and Marketing Coordinator in the planning and execution of marketing and events and to grow the AAH presence in the Appleton area and at the LQPV schools. The assistant is also responsible for assisting senior leadership in regular monthly tasks.
ESSENTIAL FUNCTIONS:
Marketing Assistant Duties (60%)
- Assists in the development and execution for all marketing & events strategies at AAH.
Works closely with the Director of Development and Marketing Coordinator to discuss marketing activities, identify new business, potential problems, and new opportunities. - Responsible for the development and execution of the AAH Podcast (1-2 episodes per month).
- Works with the Marketing Coordinator to develop and disseminate TikTok’s, reels, and short videos through social media.
Organizes new community outreach events such as “Women’s Night Out” and “Ag Appreciation Day” and other events. - Assists in representing AAH at community and school events throughout the year (ex: Applefest, Swift County Fair, open swim & community meal, and other events as they arise).
Manages quarterly AAH Red Cross Blood Drives. - Participates in and helps lead the AAH SHINE Team.
Builds connections with local organizations, churches, and groups. - Commitment to personal growth and understanding of the functions and offerings of AAH.
- Assists all brand strategy, development, and execution.
- Assists with the AAH Foundation events.
- Provides thoughtful feedback and ideas in post-event meetings.
- Completes other duties as assigned.
- Helps others succeed.
Administrative Assistant Duties (40%)
- Assists CEO with monthly employee thank yous/recognition.
- Assists members of the senior leadership team with projects as requested.
- Schedules, oversees, and prepares for quarterly employee forums for all staff.
Creates monthly AAH board packets with input from senior leadership. Attends monthly board meetings and takes minutes. Helps set-up/prepare space for monthly board meetings. - Answers board member questions and directs items to CEO as needed.
- Helps prepare for monthly manager meetings.
- Assists with the renewal process for facility licenses.
- Helps oversee and organize contracts.
- Responds to inquiries that come through the general AAH email address.
- Updates internal TVs to provide the newest AAH job openings and facility happenings.
- Oversees CallMultiplier and sends out applicable facility-wide messages.
- Checks Service Recovery Toolboxes monthly.
- Oversees and edits the facility calendar.
- Plans out the Thanksgiving Giveaway with senior leadership and then coordinates with vendors for needed items.
Orders flowers when needed due to family deaths, etc. - Orders nameplates/internal signage.
- Completes other duties as assigned.
- Helps others succeed.

Safety, including universal precautions and safe work practices, established fire/safety/disaster plans, risk management, and security, report and/or correct unsafe working conditions, equipment repair and maintenance needs. - Confidentiality of all data, including resident, employee, and operations data.
Quality assurance and compliance with all regulatory requirements. - Compliance with current law and policy to provide a work environment free from sexual harassment and all illegal and discriminatory behavior.
- Supports and participates in common teamwork:
- Cooperates and works together with all co-workers; plan and complete job duties with minimal supervisory direction including appropriate judgment.
- Uses tactful, appropriate communications in sensitive and emotional situations.
- Follows up as appropriate with supervisor, co-workers or residents regarding reported complaints, problems, and concerns.
- Promotes positive public relations with residents, family members and guests.
- Completes requirements for in-service training, acceptable attendance, uniform dress codes including personal hygiene, and other work duties as assigned.
- Excellent communicator and creative thinker and exceptional writing skills
- Analytical and interest in using data to optimize marketing strategies.
- Capable of collaborating with internal and external stakeholders
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Must possess excellent verbal and written communication skills.
- Must possess excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Ability to interface well with all departments with the facility and to represent the CEO in a highly professional manner.
- Demonstrates the ability to communicate effectively and professionally with guests and external contacts both orally and in writing.
- Possess a high degree of proficiency with various software products including Word, Excel, Power Point, and Outlook.
- Must be able to maintain the highest level of confidentiality. Able to handle sensitive material concerning the facility and the CEO’s role within the organization.
- Must possess exceptional organizational skills and attention to detail.
- Demonstrated ability to multi-task, meet designated deadlines, and work independently.
MINIMUM TRAINING AND EXPERIENCE REQUIREMENTS:
(The following statement represents the minimum experience and training standards which will be used to admit or reject applicants for interview and selection, provided that equivalent substitution will be permitted in case of deficiencies in either experience or education).
- Minimum of an associate’s degree in marketing, communications, or related field from an accredited institution or 5+ years of equivalent work experience preferred.
- Background education in marketing and communications, sales, or public relations preferred.
Job Type: Full-time
