Position Summary

The Residences and Ancillary Services unit is committed to providing a top-quality residence, off-campus housing support, and dining services for Loyalist College students. Reporting to the Director, Residences & Ancillary Services, the Manager is a student facing supervisor of the College residence and off-campus housing services. The Manager is responsible for the operations of the services under their portfolio and ensures the services meet best practice standards for the sector. With a “students first” approach, the Manager works to ensure that all team members are supported to deliver services that ensure students, staff, and other stakeholder concerns are fully and positively addressed. The Manager works with other Residence and Ancillary team members to position Loyalist as a Destination College.

Duties and Responsibilities

Front Line Manager

  • Responsible for the day-to-day operation of the Residence, including move-in, move-out, and regular maintenance operations
  • Manages the contracts and agreements signed by students and ensures accurate data is maintained
  • Ensures that maintenance requests are responded to effectively and efficiently by the relevant College department
  • Oversees, in conjunction with the relevant College department, the provision of maintenance and cleaning services as well as ensuring the buildings are well maintained and regular checks are made to identify any concerns
  • Ensures effective fee collection and room allocation
  • Oversees dispute resolution between residents and/or between residents related to the operations in their portfolio
  • Oversees the development and implementation of events and programs for the residents related to the facilities and other related programming
  • Works with other College departments to ensure that turnover between terms is smooth, timely, and ensures incoming students have clean and fully furnished accommodations as per the residence agreement
  • On an as needed basis, responsible for managing Residence Assistants and other residence staff
  • Works to ensure procedures and protocols are established that maximize service to students across all areas in their portfolio
  • Available to work a varying/flexible schedule, including an on-call rotation system for evening and weekends to readily respond to student concerns, as needed


Advising

  • Advises and assists students on a wide range of matters when necessary, including directing students to other College services such as Financial Services, The Health and iMPACT Centre, student mentors, etc.

Residence Facilities

  • Oversees all residence maintenance, housekeeping and security of residence in conjunction with relevant College personnel
  • Schedules and maintains upkeep of residence buildings and the grounds surrounding the residence, in conjunction with facilities services and contracted service providers
  • Assists with the preparation of budgets and manages the day-to-day financial aspects of residence to ensure effective stewardship of funds
  • Addresses all complaints related to the residence facilities, across all campuses, and follows-up as necessary

Off Campus Housing

  • Oversees the operations of the Off-Campus Housing office, including working with enrolment and international services and community agencies to ensure off-campus housing needs are identified and met
  • Ensures plans are developed and implemented to provide students with support in securing off-campus housing
  • Develops programming that provides students with awareness of their legal rights and processes in dealing with off-campus housing and/or other related off-campus transitions, eg. Good Neighbour programming

 

Qualifications

 

  • 3 Year Diploma/Degree in Education, Higher Education Administration, Student Development, Leadership Development, Facility Management, Housing Development, or Social Sciences
  • Minimum of five (5) years of progressive experience in residence management with demonstrated leadership experience in a post-secondary residence setting, combined with employment experience demonstrating organizational, customer service and administrative competence
  • Excellent organizational and time management skills and ability to assess priorities and work independently
  • Experience building teams and ability to interact effectively within a large community of students, student-staff, and professional staff
  • Strong customer service skills to handle inquiries and resolve issues in a professional and timely manner
  • High level of integrity and trust, tact, diplomacy and judgment including solid negotiation, crisis management and conflict resolution skills
  • Demonstrated commitment to responsible and ethical practices in working with students
  • Accepting and respectful of different personalities, lifestyles, and cultures
  • Strong oral and written communication skills with well-developed presentation skills
  • Basic knowledge of skills and trades related to effective operation of facilities, preferably in a post-secondary environment
  • Trained and experience in crisis/conflict resolution and harassment/discrimination legislation
  • First Aid/CPR, Alcohol and Substance Abuse training, Crisis Intervention/De-escalation, Mental Health First Aid is required
  • Proficient with MS Office Suite and experience with StarRez software is an asset
  • Demonstrated ability to create and maintain a budget
  • Availability to work a varying/flexible schedule, including an on-call rotation system for evening and weekends to readily respond to student concerns, as needed
  • Vulnerable Sector Check required prior to commencement of employment
