The Role
We are looking to appoint a Legal Secretary for a fixed term who will have an active role in supporting a collegiate team of market-leading private client lawyers in their front-line delivery of high-quality legal services to clients. In addition to secretarial / administrative assistant functions, the post-holder will take an active role in file management, document drafting for fee earners, and monitoring shifting deadlines in a fast-paced environment. This position is fixed term for between 3 to 9 months.
Key Responsibilities
- Typing for fee earners in the team in a fast-paced environment (this will include accurately transcribing audio dictation and copy type from draft documents);
- Active file and diary management, both physical and electronic
- monitoring fee earner inboxes and calendars
- maintaining and updating governing documentation for key clients
- conducting initial online Anti-Money Laundering searches to assist fee earners in their Customer Due Diligence for new / potential clients;
- Produce documentation in a professional and accurate manner;
- Implement and maintain a comprehensive filing and record system ensuring files are maintained in an orderly way;
- Set up new appointments with clients and open new client files;
- General photocopying and other secretarial duties;
- Providing drafting support for fee earners, including deeds, agreements, advice notes, correspondence, letters of engagement and other onboarding documentation;
- Supporting fee earners in their external roles, including in relation to event organisation, marketing, and record keeping;
- Monthly reporting, including to support governance requirements of our professional trustee company, our ISO 9001 requirements and marketing; and
- Daily tasks as instructed to enable the smooth functioning of the team, including liaising with internal and external stakeholders.
Experience and Skills Required
- Experience as a secretary;
- Excellent level of proficiency with Microsoft Office applications, particularly Word, Excel and PowerPoint;
- Strong written and oral communication skills; and
- Ability to work both independently and as part of a team.
Experience or Skills Preferred but Not Essential
- Experience of working in the private client sector.
Location
Our approach to hybrid working allows employees a blend of working from home as well as in our office in Glasgow.
Hours of Work
40 hours per week, between the hours of 9:00am – 5:00pm, Monday to Friday (Flexible – to be agreed with the successful candidate).
